  • Phone (optional)
  • Message / Project description

Legal Basis: Consent (checkbox) and execution of pre-contractual measures

Retention Period:

  • If no order: 3 years from last contact
  • If order: see 2.3

2.3 Memory Collection Service Order

2.3.1 Ordering Client Data

Collected data:

  • Identity: last name, first name, date of birth
  • Contact details: postal address, email, phone
  • Payment data: bank details (if transfer), credit card data (via secure third-party platform)
  • Billing data: company number, VAT number (if professional)

Legal Basis: Service contract execution

Retention Period:

  • During service duration
  • 10 years after service completion (Belgian accounting and tax obligations)

2.3.2 Interviewed Person Data

Collected data:

  • Identity: last name, first name, date and place of birth
  • Contact details: address, email, phone
  • Audiovisual recordings: session videos and audios
  • Life narrative: memories, journey, experiences
  • Potentially sensitive data (depending on narrative):
    • Health data
    • Political, religious, philosophical opinions
    • Ethnic origin
    • Sexual life
    • Biometric data (voice, image)

Legal Basis: Explicit consent of the Interviewed Person (specific signed form)

Retention Period by Collect Memories:

  • During service duration (3 to 6 months generally)
  • Up to 30 days after file delivery to Client
  • Then complete destruction of all recordings and files

Retention Period by Client: Indefinite retention (private family archive)

2.4 Cookies and Trackers

  • Technical cookies (mandatory for website functionality): session, security
  • Analytical cookies (anonymous statistics): Google Analytics or privacy-friendly alternative (Matomo, Plausible)

We never sell or rent your data to third parties.

5. Data Security

We implement technical and organizational measures to protect your data:

  • No cloud or online storage of recordings
  • Regular backups on separate media

You can receive your data in a structured, commonly used, and machine-readable format, and transmit it to another controller.

6.7 Right to Withdraw Consent (Art. 7 GDPR)

When processing is based on your consent, you can withdraw it at any time.

⚠️ For the Interviewed Person: Consent withdrawal results in project cessation and destruction of all recordings.

6.8 Right to Define Post-Mortem Directives (Art. 85 Belgian GDPR)

You can define instructions regarding retention, erasure, or communication of your data after your death.

7. How to Exercise Your Rights?

We commit to responding within 30 days from receipt of your request.

This period may be extended by 2 months for complex requests (you will be informed).

7.4 Free of Charge

Exercising your rights is free (first request).

For manifestly unfounded or excessive requests, we may charge reasonable fees or refuse to comply.

11. Minors

Our services are intended for adults (18 years and older).

If we discover that we have inadvertently collected data from a minor without parental consent, we will delete it immediately.

Exception: If a minor (>13 years) is the Interviewed Person, consent from their legal representative is mandatory.

We reserve the right to modify this Privacy Policy at any time, particularly to:
